Ross Rosen did most of the work behind FileSimple. It started with a deep hatred of managing all the paper documents for his home life and a belief that there had to be a better way. After getting a great scanner and then getting turned off by all the "enterprise-scale document management" software tools, he decided to put his time where his mouth was and build FileSimple.

Admittedly he has spent far more time building FileSimple than he ever would have just filing his documents. But it's been more fun.


Erik Davidson is a professional designer who saw some promise in Ross' early work and was willing to jump in and help make it look great. He's provided great insight into how to communicate about the product.

If you are using FileSimple, you probably care about spending as little time and effort on document management as possible. Here are some tips we've come up with on our own quest for minimizing effort.

  • Minimize documents - whenever possible, sign up for electronic documents. The only negative is that most institutions save only a finite number of years of statements, but if that tradeoff is ok for you, then this is this first step.
  • Good scanner - a good document scanner makes turning paper into electronic copies trivially easy. For instance the Fujitsu ScanSnap scans 25 pages, double-sided, per minute. Coupled with FileSimple, the hardest part of filing your documents is opening the envelope. Literally.
  • Keyboard shortcuts - With FileSimple, you can do everything with the mouse. But if you spend a LITTLE time learning the keyboard shortcuts, filing will become trivially easy and incredibly fast.
  • Big screen - A big screen helps you see the whole document at once.
  • Old documents - If you are like us and want the security of a belt and suspenders, don't throw away your paper documents just yet. Buy a bankers box and store your old documents in it. By the time your box is full, you'll be confident that FileSimple works for you. Then shred them.
  • Folders - In general, make your folder names very specific and tied to the most obvious source of the document. That way you won't forget the folder name you used or create multiple folders for the same type of document.
  • Tags - Less is more! Don't make a zillion tags. If you have too many tags they will become hard to manage.
  • Clean up - After you've used FileSimple for a while, you may want to go through and merge folders or tags, rename them, etc. Use the "Manage" feature of FileSimple.
  • Dates - If you scan your documents about when you get them, then the default date will be close enough to the actual date that you can skip entering a date and just use the default. Also, FileSimple is very permissive about dates. Of course you could enter "04/22/2017". Or you can do "4/17", "1704", or even "2017".
  • Custom Names - Only use the "custom name" feature if you really need it. If you are coming from a home-grown, file system based document management process, you may have used the file name to help you organize your docs. But with FileSimple, you have Folders, Tags, and Dates, all made and organized for you. You can probably skip the custom names and save yourself some keystrokes.

There are plenty of super powerful, super complicated, and fairly expensive document management solutions out there. If you are a large corporation dealing with tens of thousands of doucments, they probably make sense. But if you are an individual trying to deal with household documents, or a small business, the goals are different.

FileSimple's development philosophy is: Easy to file. Adequate to find.

The idea is that you need to be able to find a specific document when you need to. But if you rarely need to find documents, when you do, you can spend a few moments flipping through a handful to find the one you need. (Just like you would with a physical file cabinet.) If that tradeoff is ok, then we can minimize the amount of meta-data you need to enter for any given document.
